Executive Assistant

Job Description

This Executive Assistant will provide seamless administrative support to the CEO, which consists of refilling office kitchen supplies, sending documents and packages, and taking care of personal errands for the CEO.

Arrange and handle all logistics for Board meetings and eventsServe as the primary point of contact for internal and external parties on all matters pertaining to the CEO, including those of a highly confidential or critical nature.Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.Provide event management support as requested.Provide hospitality to all guests and help to create a welcoming environment.Process and distribute daily mail.Work with the Executive Team to coordinate the CEO’s outreach activities.Answer telephones and respond to inquiries via phone or emailPerform administrative tasks, including filing and photocopyingWrite emails, memos, and lettersImplement and/or develop office procedures and record systemsOrganize office and assist associates in ways that optimize proceduresResolve office-related malfunctions and respond to requests or issuesMaintain contact listsKeep waiting rooms and meeting rooms tidyManage building cleaning, maintenance and landscaping servicesWork with media room director and video editor if necessaryCoordinate the event with video contents preparation

Requirements

1 year experience as an executive assistant

Proficiency in Microsoft office, particularly PowerPoint

Written and oral communication skills

Analytical and risk assessment abilities

Project management and deadline fulfillment skills

Strong technical and troubleshooting skills

Excellent organization and documentation skills with attention to detail

Ability to prioritize and manage multiple projects simultaneously

Preferred: Understand relevant principles of electronics, acoustics and sound reinforcement, along with fundamentals of video equipment, lighting equipment, & production

Preferred: Basic understanding in Pro Presenter, ProTools, Cubase, Adobe Premiere Pro CC, Final Cut Pro, Film editing software, ect.

Administrative Assistant

Job Description

• Support on internal HR-related inquiries and requests

• Invoice preparation and invoice processing

• Accounting and financial reporting

• Provide administrative support to Executives and Directors with calendar maintenance, office organization, clerical support, travel arrangements, etc.

• Collect and maintain HR-related records of employees.

• Receive, sort, and be responsible for incoming and outgoing mail/packages 

• Assist with recruitment process from identifying candidates, reviewing, and managing interview schedules

• Manage company IT equipment such as laptops, monitors, key fobs, etc.

•  Create and maintain company systems, such as email accounts, application subscriptions

and etc

• Assist with planning and execution of special events such as company-wide meetings, holiday parties, employee celebration events.

• Perform additional administrative duties as assigned

Requirements

• Proficient in Microsoft Office (Word, Excel, Power Point, Outlook)

• Strong written and verbal communication and interpersonal skills

• Excellent organization and documentation skills with attention to detail

•  Ability to prioritize and manage multiple projects simultaneously
